About the role

Responsibilities

  • Cultivate an exceptional workplace experience by managing reception, visitor activities, and creating a hospitable environment for employees and vendors.
  • Ensure seamless daily office operations, including catering management, office supply replenishment, and mail/package distribution.
  • Coordinate and execute office events and programs, including setup, breakdown, and facilitating engagement initiatives like All Hands meetings.
  • Facilitate employee onboarding and offboarding by collaborating with People & Culture, IT, and Property Security.
  • Provide administrative and operational support to local office leadership and handle confidential matters with discretion.
  • Support the virtual EMEA community and provide limited assistance to the Kaunus office team.

Requirements

  • 2+ years of experience in office management, coordination, or a similar administrative role.
  • Proven ability to manage multiple detailed tasks independently in a fast-paced environment.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent communication skills with a focus on timely responsiveness.
  • Proficiency in Google Workspace, Microsoft Office Suite, and Slack.
  • Ability to assist with the physical setup of office events and distribution of supplies using safe manual handling practices.

Preferred Qualifications

  • A proactive, flexible, and positive approach to anticipating employee and visitor needs.
  • Experience or familiarity with Zendesk and Canva.
  • Demonstrated commitment to fostering an inclusive environment and acting as a culture champion.
  • Exceptional interpersonal skills and a professional demeanor.
  • Experience collaborating with cross-functional partners such as Talent Acquisition and People & Culture.
  • Certified First Aider and Fire Warden (or willingness to undergo training).
