Workplace Experience Coordinator

Responsibilities

• Deliver a professional and welcoming front-of-house experience for employees and guests.
• Coordinate quarterly Town Halls, monthly social events, and large offsite meetings.
• Manage day-to-day office operations including kitchen supplies, office groceries, and mail distribution.
• Oversee vendor and contractor relationships, including cleaners, tech support, and building management.
• Support the employee lifecycle by conducting Health & Safety building tours for new joiners.
• Handle administrative and financial tasks such as budget tracking, expense reporting, and invoice verification.
• Assist with business travel arrangements, including flight and hotel bookings.
• Maintain workplace health and safety standards and assist with emergency drills.

Requirements

• 2–5 years of experience in Workplace Experience, Office Management, HR Operations, or Event Coordination.
• Proven experience planning and delivering internal events such as town halls and social gatherings.
• Experience supporting onboarding and offboarding processes.
• Proficiency in booking travel and managing procurement and budget tracking.
• Strong organizational and multitasking skills with high attention to detail.
• Experience working directly with vendors and facilities management.
• Basic knowledge of workplace compliance, record keeping, and health & safety practices.
• A proactive, problem-solving mindset with a strong service-oriented approach.
