Vendor Coordinator

Responsibilities

• Coordinate vendor mobilization, call-outs, and site activities in alignment with the commissioning schedule.
• Act as the primary point of contact between vendors, Commissioning Engineers, Construction, and QA/QC teams.
• Ensure vendor presence during FAT/SAT, loop checks, functional testing, and system start-up.
• Align vendor schedules with system/subsystem priorities and the overall commissioning sequence.
• Liaise with engineering and procurement teams for technical clarifications and tracking vendor deliverables.
• Monitor vendor readiness, including documentation, manpower, tools, and consumables.
• Verify technical documentation such as test procedures, calibration certificates, manuals, and data sheets.
• Track vendor performance against schedules and proactively escalate potential delays.
• Maintain logs for vendor attendance, testing progress, and outstanding punch items.
• Support administrative processes including timesheet validation, service reports, and invoice coordination.
• Identify and resolve technical gaps between vendor packages and site conditions.

Requirements

• Bachelor’s Degree or Diploma in Engineering (Mechanical, Electrical, or Instrumentation preferred).
• 2–7+ years of experience in EPC Oil & Gas projects.
• Hands-on experience with commissioning and pre-commissioning activities.
• Proven experience in vendor coordination during SAT, start-up, or troubleshooting phases.
• Familiarity with EPC workflows and handover stages (MC to Commissioning to Start-up).
• Proficiency in English.
