About the role
Responsibilities
- Coordinate undergraduate and graduate course timetabling, including lecture and lab scheduling using Scientia
- Act as the primary point of contact for undergraduate students, providing authoritative information on program requirements, admissions, and graduation
- Manage the course registration process, resolve student registration conflicts, and manage waitlists
- Process undergraduate appointments in Workday, including Work Learn, Co-op, and research positions
- Compile statistical reports on enrollment trends, average marks, and graduation numbers
- Manage scholarship competitions, student award nominations, and departmental web content
- Provide administrative support to the Associate Head - Undergraduate Affairs and various departmental committees
- Coordinate large social functions such as open houses, recruitment activities, and department tours
Requirements
- High School graduation plus a two-year post-secondary diploma
- Four years of related administrative or program coordination experience
- Proficiency in MS Office, specifically MS Excel for creating tables, graphs, and charts
- Demonstrated ability to handle complex inquiries with tact, discretion, and diplomacy
- Strong commitment to equity, diversity, and inclusion in the workplace
Preferred Qualifications
- Bachelor's degree
- Experience with Workday or Scientia
- Previous experience in a university setting and familiarity with academic registration systems
- Knowledge of university policies, governance, and administrative procedures
- Training in web technology or computer programming
