About the role
Responsibilities
- Coordinate the recruitment and training process for teaching assistants, exam invigilators, course instructors, and sessional lecturers
- Proof and post job advertisements using hiring software
- Interpret guidelines to determine graduate student eligibility for teaching assistantships
- Prepare draft employment letters using established templates
- Collect and manage supporting documentation required for payroll and HRIS processing
- Maintain accurate information within departmental databases and digital platforms
- Collate and organize data for various administrative reports
- Track and monitor course enrollments and report numbers to management
Requirements
- Advanced College Diploma (3 years) or a Bachelor's degree
- Minimum of two years of relevant administrative and academic support experience in a complex office environment
- Demonstrated experience in front-line customer service with diverse stakeholders
- Proficiency in Microsoft Office Suite, specifically Excel for data organization
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent verbal and written communication skills
- Experience handling confidential or sensitive information professionally
Preferred Qualifications
- Experience working in a post-secondary or academic administrative environment
- Familiarity with university systems such as student records, room bookings, or HR/payroll workflows
- Experience with database management or enterprise systems (e.g., ROSI/ACORN, HRIS, Quercus)
- Knowledge of accessibility standards and inclusive administrative practices
