About the role

Responsibilities

  • Provide day-to-day administrative and logistical support to the Ukraine Country Office, including scheduling meetings, organizing workshops, and coordinating calendars.
  • Support visiting WBG missions by coordinating schedules, transport, accommodation, and liaison with government counterparts and stakeholders.
  • Assist with travel arrangements for staff, consultants, and mission teams in accordance with World Bank procedures.
  • Support budget preparation, monitoring, payment processing, and procurement actions.
  • Assist in preparing materials such as stakeholder mapping, background research, meeting notes, presentations, and correspondence.
  • Maintain and update databases, contact lists, filing systems, and mission records.
  • Draft, format, and quality-check various documents including briefs, reports, and presentations.
  • Coordinate with internal units (procurement, finance, security, etc.) and external stakeholders to facilitate office and project activities.

Requirements

  • Bachelor's degree or diploma in administration, business, accounting, project management, public administration, international relations, or a related field.
  • Proven work experience in administrative, logistical, or operational support.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
  • Strong organizational skills and the ability to manage multiple tasks in a fast-moving environment.
  • Excellent written and oral communication skills.
  • Fluency in both English and Ukrainian.

Preferred Qualifications

  • Experience supporting development programs, emergency response, or reconstruction efforts.
  • Prior experience working within an international organization or a government-facing environment.
  • Familiarity with World Bank systems and administrative procedures.
