About the role

Responsibilities

  • Manage complex calendars, meetings, and scheduling across multiple stakeholders and time zones
  • Coordinate internal and external meetings, ensuring accuracy of attendees, logistics, and communications
  • Independently coordinate team meetings, client events, off-sites, and travel logistics from planning through execution
  • Manage vendors, attendee communications, event timelines, and on-site coordination
  • Support the smooth running of the London office, including supplies, food orders, facilities, and visitor management
  • Coordinate internal and external office visits to ensure a professional experience for clients and guests
  • Build structure and organization across team operations through trackers, follow-ups, and process coordination

Requirements

  • 3+ years of experience in an executive assistant, office manager, team assistant, or operations coordination role
  • Experience supporting fast-paced, client-facing, or commercial teams
  • Proven ability to manage complex scheduling, logistics, and events independently
  • Exceptional organizational skills and strong attention to detail
  • Strong written and verbal communication skills
  • Proficiency in Google Workspace and/or Microsoft Office
  • High level of professionalism, discretion, and emotional intelligence

Preferred Qualifications

  • Experience supporting senior commercial leadership teams
  • Experience managing office operations or workplace logistics
  • French and/or Spanish language skills
