Tax Scheduling Coordinator

Responsibilities

• Own daily and weekly monitoring of staff hours to identify underutilization or capacity risks
• Coordinate work assignments across Tax groups to facilitate reallocation of staff as workload shifts
• Engage service line leaders to negotiate staffing moves and ensure equitable work distribution
• Serve as the single intake point for scheduling requests and manage incoming needs
• Follow up on timesheet submission compliance and escalate gaps to leadership
• Pull and maintain utilization reports, billable hour benchmarks, and burnout indicators
• Support the transition to XCM by learning new workflows and helping the department adopt updated tools

Requirements

• 2+ years of scheduling, coordination, or resource management experience
• Strong organizational skills with the ability to manage competing priorities
• Proficiency in Microsoft Office Suite, particularly Excel
• Excellent interpersonal skills and the confidence to navigate direct conversations with senior stakeholders
• High attention to detail regarding tracking hours and utilization data

Preferred Qualifications

• Experience in a professional services, tax, or accounting environment
• Experience with XCM or similar workflow management tools
• Familiarity with tracking utilization rates and billable hour benchmarks
