Talent Acquisition Coordinator

Responsibilities

• Coordinate and schedule candidate interviews, panel sessions, and debriefs across multiple time zones.
• Manage job postings across approved networks, ensuring inclusive language and alignment with organizational benchmarks.
• Guide recruitment requisitions through internal approval channels and maintain established workflows.
• Facilitate offer letter preparation, distribution, and tracking, as well as background check launches.
• Manage the end-to-end pre-onboarding journey, coordinating with IT and payroll for seamless integration.
• Facilitate Form I-9 employment eligibility verification in compliance with federal regulations.
• Act as a platform administrator for Greenhouse Recruiting, managing user access and system standards.
• Maintain ATS data integrity and generate reports on recruitment metrics and KPIs.
• Train and support internal hiring managers on Greenhouse operations and workflows.

Requirements

• 3+ years of talent acquisition coordination experience.
• Proven experience in logistics, multi-step process planning, and complex calendar management.
• Demonstrated ability to maintain strict confidentiality and exercise professional discretion with sensitive data.
• Exceptional written and verbal communication skills.
• Strong digital literacy and the ability to learn new systems and databases quickly.
• Bachelor’s degree or equivalent practical experience.

Preferred Qualifications

• Prior experience using Greenhouse Recruiting or an equivalent enterprise Applicant Tracking System (ATS).
• Experience drafting visual guides, process workflows, or technical tutorials for system users.
• Familiarity with database reporting and exporting metrics for strategic decision-making.
