About the role

Responsibilities

  • Serve as the first point of contact for the Department of Electrical and Computer Engineering, handling inquiries in person, by phone, and via email
  • Provide administrative and reception support, including room bookings, mail distribution, and office supply management
  • Assist with undergraduate program processes such as course registration inquiries, waitlist support, and basic advising information
  • Support the maintenance of undergraduate program records, documentation, and student-facing communications
  • Assist with event logistics for departmental activities, including orientation, information sessions, and student engagement initiatives
  • Perform general administrative tasks such as scheduling meetings, preparing agendas, taking minutes, and assisting with faculty recruitment logistics
  • Update departmental website information and prepare simple communication pieces and announcements

Requirements

  • High School graduation plus at least one year of post-secondary education
  • Three years of related administrative or customer service experience
  • Intermediate proficiency with Microsoft Office or equivalent office software
  • Strong verbal and written communication skills
  • Commitment to equity, diversity, and inclusion in the workplace

Preferred Qualifications

  • Prior experience using Workday
  • High level of attention to detail and ability to maintain accurate records
  • Ability to prioritize tasks and work effectively under pressure to meet deadlines
  • Strong organizational skills and the ability to coordinate multiple tasks efficiently
  • Experience handling confidential information in compliance with privacy regulations
