Sr. Associate, Proposals

Responsibilities

• Manage the proposal compilation process from receipt of ITT through to final submission
• Format proposals and CVs using company Word templates and ensure high-quality document presentation
• Review and proofread bid documents to ensure compliance and accuracy
• Coordinate with Proposal Managers, Sales Leads, and other stakeholders to meet strict deadlines
• Maintain the proposal library, including standard write-ups, experience documents, and updated CVs
• Set up electronic working folders, proposal plans, and document layouts
• Support the bid lifecycle by preparing "dummy books," managing print/courier arrangements, and assisting with Red Team Reviews
• Perform departmental administration such as filing, archiving, and maintaining templates

Requirements

• Proven experience in proposal coordination or similar administrative roles
• Advanced proficiency in Microsoft Word, Adobe PDF, Excel, and PowerPoint
• Strong English language skills with excellent writing, proofreading, and editing abilities
• Exceptional organizational and time management skills with a keen eye for detail
• Ability to work flexible hours to meet critical submission deadlines
• Strong interpersonal and communication skills to interact with senior personnel

Preferred Qualifications

• Experience using SharePoint for document management and collaboration
• Familiarity with e-bidding platforms such as Ariba
