Specialist – IP (Patents)

Responsibilities

• Maintain accurate patent records across all jurisdictions to ensure alignment with internal standards and regulatory requirements
• Track and manage statutory deadlines for renewals, annuities, filings, and office actions
• Coordinate patent prosecution and maintenance activities with external counsel
• Manage entries in the patent docketing system (e.g., Anaqua) to ensure data completeness and accuracy
• Conduct periodic audits of docketed data to identify and remediate inconsistencies or risks
• Generate routine and ad hoc portfolio status reports for legal, R&D, and business stakeholders
• Maintain structured document repositories for patent filings, assignments, and legal documentation
• Support compliance reviews, internal controls, and invoice processing for IP-related expenses

Requirements

• Graduate degree in any discipline
• Up to 6 years of experience in patent operations or IP lifecycle management
• Proficiency in IP docketing systems such as Anaqua
• Experience with document management systems
• Proficiency in Microsoft Excel

Preferred Qualifications

• IP-relevant certifications in intellectual property law or paralegal studies
• Strong understanding of IP data integrity, renewals management, and billing processes
• Excellent stakeholder management and communication skills
• High attention to detail and ability to manage multiple tasks to strict deadlines
