Shop Administrator

Responsibilities

• Handle and respond to inbound calls for both internal and external repairs and service
• Review expense reports from mechanics for approval and ensure all costs are accounted for in open work orders
• Maintain accurate, real-time statuses on all work being performed in the shop
• Manage stockroom records, including receipts, withdrawals, and inventory tracking for telematics
• Prepare customer invoices and process deductions
• Manage and track truck and trailer parts inventory, ordering new parts as necessary
• Monitor Out of Service (OOS) truck and trailer reports and perform necessary follow-ups
• Inspect incoming and outgoing deliveries for accuracy, damage, or discrepancies

Requirements

• Intermediate proficiency in Microsoft Office, specifically Microsoft Excel
• Recent University/College graduate or at least 1 year of experience in an office environment
• Familiarity with standard concepts and best practices in a stockroom or warehouse setting
• Excellent written and verbal communication skills in English
• Ability to multi-task and thrive in a fast-paced, dynamic work environment

Preferred Qualifications

• Automotive or mechanical knowledge is considered a strong asset
