Service Support Senior Coordinator

Responsibilities

• Coordinate daily service schedules and assignments for Power and Thermal field engineers, including preventive and corrective works.
• Manage service transactions and documentation within ERP and CRM systems to ensure timely data updates.
• Prepare and verify service paperwork for invoicing, including work confirmations, time logs, and service codes.
• Act as the primary point of contact for internal stakeholders such as Sales, Field Service Engineers, and Operations.
• Monitor the invoicing process and provide regular reports or alerts regarding overdue or missed actions.
• Support continuous process improvement by identifying recurring administrative issues and suggesting solutions.

Requirements

• 2–4 years of experience in service operations, field coordination, or technical back-office support.
• Proficiency with ERP and CRM systems (e.g., SAP, Oracle, MS Dynamics, or Salesforce).
• Fluency in both Japanese and English (written and spoken).
• Strong MS Excel skills and experience with data reporting.
• Proven ability to work effectively in a fast-paced, cross-functional operational environment.
• High attention to detail and a strong ownership mentality.

Preferred Qualifications

• Prior experience in service billing, invoice preparation, or liaising with Finance departments.
• Experience coordinating complex schedules or shift planning for technical teams.
• Familiarity with data center operations terminology (e.g., UPS, PDU, cooling systems).
• Experience maintaining audit-ready documentation and supporting internal/external audits.
