Senior Recruiting Coordinator

Responsibilities

• Elevate candidate experience by scheduling a high volume of phone, in-person, and video conference interviews globally
• Manage end-to-end interview logistics and communicate scheduling details clearly to candidates and teams
• Support recruiters and hiring managers in building exceptional teams
• Maintain accurate candidate statuses and data integrity within Ashby (ATS)
• Assist with onboarding new employees and processing new hire paperwork
• Collaborate with Recruiting Operations to improve and streamline existing processes
• Leverage AI-assisted tools and automation to increase coordination workflow speed and quality

Requirements

• 4-5+ years of experience in recruiting coordination, HR coordination, or operations support
• Experience working with an ATS (Ashby experience is a plus)
• Professional communication skills for interacting with candidates and employees at all levels
• Strong detail orientation and ability to manage multiple tasks with urgency
• Business-level proficiency in both English and Japanese (written and spoken)
• Flexibility to execute outside of regular business hours when needed

Preferred Qualifications

• Experience supporting hiring at scale in Japan or the APAC region
• Familiarity with AI-assisted recruiting tools or workflow automation
• Knowledge of employment law considerations relevant to Japan
• Experience coordinating technical or engineering interviews
• Background in process documentation or SOP creation
