Senior Meeting Planner

Responsibilities

• Independently coordinate all program logistics for live and virtual events, including venue selection, contract negotiations, travel, and food and beverage.
• Manage audience recruitment, attendee data, and post-meeting compliance reporting (Sunshine Act).
• Process healthcare professional payments and manage vendor invoices.
• Track and prepare accurate attendee spend reports to ensure compliance with regulatory guidelines.
• Coordinate ground transportation, rooming lists, and audio-visual requirements.
• Maintain ongoing communication with project teams to evaluate progress and respond to changes in program scope.
• Adhere to PhRMA, FDA, OIG, ACCME, and ADA guidelines.

Requirements

• 4-year college degree.
• 2-3 years of meeting planning experience.
• Experience working within a Pharma Advertising agency.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
• Hands-on experience with Cvent or similar web-based registration systems.
• Experience executing virtual meetings using platforms such as Zoom, WebEx, or Adobe Connect.
• Ability to travel for meetings both within the US and internationally.

Preferred Qualifications

• CMP Certification.
• Strong accounting and negotiation skills.
• Ability to manage multiple simultaneous projects in a fast-paced environment.
