About the role
Responsibilities
- Own the full scheduling lifecycle for Director-level and above interviews, managing complex virtual loops across multiple time zones.
- Serve as the primary on-site host for in-person interviews at the San Francisco office, providing a white-glove candidate experience.
- Manage all logistical details for interview days, including space reservations, AV setup, guest access, and hospitality.
- Act as the main point of contact for executive candidates, ensuring professional and warm communication throughout the process.
- Maintain meticulous records in the ATS and scheduling tools, tracking interview details, feedback deadlines, and follow-ups.
- Identify and resolve scheduling conflicts, availability gaps, or process bottlenecks proactively.
- Support office operations and contribute to a positive, professional office environment.
Requirements
- 3+ years of experience in recruiting operations, recruiting coordination, or executive coordination.
- Proven experience supporting senior stakeholders and high-level leadership.
- Hands-on operations experience with a track record of delivering high-quality service.
- Exceptional organizational skills and extreme attention to detail.
- Proficiency with modern scheduling tools and Applicant Tracking Systems (ATS).
- Strong written and verbal communication skills with a professional presence.
- Ability to thrive in a fast-paced, ambiguous, and evolving environment.
- Must be able to work in a hybrid capacity from our San Francisco headquarters (4 days a week).

- Experience using Ashby.
- Curiosity regarding AI and a willingness to test AI use cases to increase recruiting efficiency.
