Responsibilities
- Manage complex calendars and meeting coordination for three C-level executives
- Schedule internal and external meetings and prepare meeting materials
- Book travel, including flights, hotels, and ground transportation, and prepare itineraries
- Manage expenses and expense reporting for executive leaders
- Act as a strategic partner by anticipating needs and streamlining operations
- Support special projects and cross-functional initiatives, tracking deliverables and deadlines
- Plan team events, offsites, and annual week-long onsites
- Coordinate interviews with the recruiting team to ensure a seamless candidate experience
- Serve as a professional representative for executive guests and visitors in the San Francisco office
- Leverage AI-powered tools and technology to automate routine tasks and increase efficiency
- Exercise exceptional judgment and discretion with confidential business and personnel matters
Requirements
- 5+ years of Executive Assistant experience supporting senior executives
- Experience in a high-growth technology company or fast-paced environment
- Proven ability to support multiple senior leaders simultaneously
- Outstanding verbal and written communication skills
- Exceptional organizational and project management abilities
- Demonstrated ability to maintain confidentiality and navigate sensitive situations
- Experience planning complex travel, offsites, and team events
- Proficiency in Google Workspace, Slack, Zoom, and Workday
- Ability to operate effectively in ambiguous environments
Preferred Qualifications
- Experience leveraging AI and automation tools to improve administrative workflows
- High emotional intelligence and strong interpersonal skills
