About the role
Responsibilities
- Provide high-quality administrative and coordination support to the CEO's Office and senior leaders
- Prepare, format, and update documents, reports, correspondence, and presentations
- Maintain accurate electronic and hard-copy filing systems
- Coordinate Federation-wide meetings and events, including preparing papers and recording actions
- Support day-to-day office operations by managing priorities and tracking actions
- Facilitate HR administration and onboarding for senior staff
- Maintain accurate employee records within Oracle Fusion and support payroll changes
- Handle sensitive HR, payroll, and confidential information with total discretion
- Manage annual collections, such as Declaration of Interest forms and emergency contact records
Requirements
- Proven experience in a busy administrative, executive support, or office coordination role
- Experience handling confidential and sensitive information with high levels of discretion
- Strong organizational skills with the ability to manage a varied workload and meet deadlines
- Excellent written and verbal communication skills
- High level of attention to detail and accuracy in document production
- Ability to work with senior stakeholders and respond to competing priorities
- Proficiency in maintaining accurate records and using administrative systems
- Understanding of safeguarding, confidentiality, and data protection protocols
