About the role

Responsibilities

  • Provide high-level administrative and operational support to the Finance Director
  • Manage calendars, meeting coordination, and departmental scheduling
  • Prepare agendas, reports, meeting materials, and follow-up action items
  • Coordinate departmental projects and strategic initiatives from planning through execution
  • Support financial analysis and leadership decision-making
  • Track department performance metrics and key operational indicators
  • Support annual budgeting and planning processes
  • Manage finance-related contracts, agreements, and vendor relationships
  • Maintain organized records for financial and operational agreements
  • Develop and maintain systems that improve communication and accountability
  • Handle sensitive financial, personnel, and legal information with discretion

Requirements

  • 5+ years of executive administration or operations management experience
  • Advanced proficiency in Microsoft Office Suite (Excel, Outlook, Teams)
  • Experience supporting senior executives or directors
  • Experience working with financial, accounting, or business operations teams preferred
  • Proven ability to manage multiple high-priority projects simultaneously
  • Exceptional organizational and communication skills
  • Ability to handle confidential information with discretion

Preferred Qualifications

  • Bachelor’s degree in Business Administration, Finance, Accounting, or Operations
  • Experience in preparing financial reports
  • Experience improving processes and implementing operational efficiencies
