About the role

Responsibilities

  • Provide professional administrative, financial, and human resources support to Managers and their teams within BMO Capital Markets.
  • Manage complex calendars, meeting invitations, room bookings, and travel arrangements.
  • Coordinate and monitor departmental budgets, processing invoices and tracking expense claims.
  • Support strategic initiatives by tracking metrics, milestones, and preparing tailored communications or presentations.
  • Lead the planning and implementation of department events and coordinate staff training requirements.
  • Maintain organized filing systems and ensure business documentation is readily available.
  • Manage office supplies inventory and liaise with vendors regarding premises and building-related matters.
  • Oversee vacation and absence scheduling to ensure alignment with critical business needs.
  • Provide coaching and mentoring to junior administrative staff.

Requirements

  • 3-5 years of experience in an administrative or professional support function.
  • Strong verbal and written communication skills.
  • Excellent organizational and time management abilities.
  • Proven analytical and problem-solving skills.
  • Ability to collaborate effectively with internal and external stakeholders.

Preferred Qualifications

  • Post-secondary degree in a related field of study.
  • Specialized knowledge in financial or corporate administrative environments.
