Seasonal Booking Assistant

Responsibilities

• Provide day-to-day administrative support to the Indianapolis Talent Buying Team
• Maintain detailed trackers to monitor active offers, holds, and deal progression
• Process venue contracts, artist contracts, co-promote agreements, and COIs
• Monitor the Contracts Tracker to ensure all deadlines are met
• Review offers from the Live Nation Touring office for accurate expenses and deal points
• Facilitate information regarding on-sales and send out confirmation sheets
• Interface directly with external industry professionals and third-party venues
• Compile and maintain digital show folders across internal systems
• Prepare pre-settlements and night-of-show event settlements
• Contribute to special projects and regional travel as necessary

Requirements

• 1-2 years of previous administrative work experience
• Proficiency in Microsoft Excel, Adobe, and PowerPoint
• Basic understanding of legal terms and concepts used in artist and venue contracts
• Strong organizational, communication, and analytical skills
• Ability to work well under pressure in high-stress, fast-paced environments
• Flexibility to work weekends, nights, and holidays as needed
