About the role

Responsibilities

  • Manage complex and shifting calendars across Outlook and Google
  • Monitor emails, Teams, calendars, and texts to prioritize urgent items
  • Coordinate meetings, lunches, travel, and day-to-day logistics
  • Support administrative tasks including mailings and file organization
  • Create and maintain SOPs, checklists, and process documentation using AI tools
  • Assist with PowerPoint presentations, proofreading, and document organization
  • Proactively identify scheduling conflicts and keep stakeholders informed

Requirements

  • 3–5+ years of experience in scheduling, coordination, or administrative roles
  • Heavy experience in calendar management
  • Proficiency in Microsoft Office (Outlook, PowerPoint) and Microsoft Teams
  • Proficiency in Google tools
  • Experience using AI tools to improve workflows and documentation
  • Ability to work on-site in Phoenix
  • Flexibility for early morning, evening, or occasional weekend scheduling needs
