Recruitment Operations Specialist

Responsibilities

• Manage end-to-end staffing for alumni at virtual and in-person recruitment events, including scheduling and onboarding.
• Maintain the Banner Directory of Advisors and manage the advisor inquiry email inbox.
• Coordinate virtual event infrastructure, including Zoom link distribution and event staffing logistics.
• Oversee materials inventory, audiovisual equipment, and branded recruitment supplies.
• Execute financial operations including expense coding, receipt documentation, and audit readiness.
• Manage vendor and contractor administration, including payroll timesheet approval and invoice processing.
• Support data integrity through accurate lead entry for North American events.

Requirements

• 2–4 years of experience in operations, event coordination, or administrative support.
• Experience with vendor or contractor management platforms and procurement processes.
• Proficiency with Zoom and student information systems (Banner or equivalent).
• Strong organizational and financial documentation skills, including expense review and coding.
• Excellent written and verbal communication skills with high attention to detail.
