Recruiting Coordinator

Responsibilities

• Manage high-volume and complex interview scheduling, including multi-panel and executive-level interviews across multiple time zones
• Coordinate end-to-end interview logistics, including GSuite and Zoom calendar coordination, candidate communications, and interview materials
• Serve as the primary point of contact for candidates to ensure a seamless, professional, and welcoming experience
• Partner with recruiters and hiring managers on offer letters, documentation, and hiring system processes
• Maintain and update job postings and ensure accurate requisition data in Workday and Gem
• Coordinate event logistics, including venue confirmations, vendor coordination, catering, and onsite or virtual execution
• Support recruiting-related invoicing, purchase orders, vendor payments, and expense reconciliation
• Assist with reporting, interview tracking, and data-focused projects to improve recruiting operations

Requirements

• Bachelor's degree in Human Resources, Communications, Marketing, Business, or a related field
• 2+ years of experience in coordination, talent acquisition, people ops, or administrative support
• Proficiency in GSuite, Microsoft Office, and Slack
• Strong organizational skills and high attention to detail
• Excellent written and verbal communication skills
• Ability to work onsite in the Calabasas, CA office 5 days per week
• Ability to manage multiple priorities and adapt quickly in a fast-paced environment

Preferred Qualifications

• Experience with Workday or Gem (ATS/HRIS)
• Experience with Airtable
