About the role

Responsibilities

  • Create and maintain client/matter files using the Firm's Records Management System (RMS) and Document Management System (DMS)
  • Manage the lifecycle of physical and electronic records, including creation, tracking, storage, and disposition
  • Coordinate the transfer of files to off-site storage and retrieve files upon request
  • Process incoming electronic and physical records and assist with file purging in accordance with retention policies
  • Perform general clerical duties such as filing, labeling, and updating file information
  • Conduct quarterly inventory of records and bi-weekly offsite storage facility runs
  • Provide quality customer service and support to end users regarding the RMS system

Requirements

  • 4-5 years of post-high school training or equivalent work experience
  • Minimum 5 years of recent information and records management experience
  • Proficiency in email, word processing, and data entry
  • Strong organizational skills and high attention to detail
  • Ability to lift and transport boxes weighing 25-30 pounds
  • Ability to work independently with minimal supervision

Preferred Qualifications

  • Experience working within a law firm environment
  • Experience using NetDocuments, FileTrail, or similar Document and Records Management Systems
