About the role
Responsibilities
- Professionally answer and direct all incoming calls and greet clients in a hospitable manner
- Coordinate incoming and outgoing mail, deliveries, and office routing
- Manage the reception and hospitality area, including conference room scheduling and setup
- Coordinate meetings, including catering arrangements, audio-visual setup, and conference call scheduling
- Assist legal assistants and attorneys with time entry, billing, invoicing, and expense reimbursements
- Provide administrative support, including composing error-free letters and memoranda
- Maintain digital media and documents in accordance with firm Information Governance policies
- Prioritize workload effectively to respond to requests with urgency
Requirements
- Minimum of 3 years of related work experience preferred; experience in a professional services firm is a plus
- Demonstrated proficiency with Microsoft Word and Outlook
- Strong attention to detail, accuracy, and organizational skills
- Excellent time-management skills and the ability to meet strict deadlines
- Proficient command of the English language and standard grammar rules
- Ability to multi-task and work effectively as part of a collaborative team
- Professional appearance and punctuality
Preferred Qualifications
- Experience with Filesite or iManage
- Proficiency in Microsoft Excel
