About the role
Responsibilities
- Professionally answer and direct all incoming calls and greet clients in a hospitable manner
- Coordinate and process incoming and outgoing mail, deliveries, and office routing
- Maintain the reception and hospitality area and manage the conference room scheduler
- Coordinate meetings, including catering arrangements, audio-visual set-up, and conference call scheduling
- Assist legal assistants and attorneys with time entry, billing, invoicing, and expense reimbursements
- Compose error-free letters and memoranda as directed
- Manage digital media and documents in accordance with firm Information Governance policies
- Provide general administrative support and respond to requests with urgency
Requirements
- Minimum of 3 years of related work experience preferred; experience in a professional services firm is a plus
- Demonstrated proficiency with Microsoft Word and Outlook
- Strong attention to detail, accuracy, and organizational skills
- Excellent verbal and written communication skills with a command of standard English grammar
- Ability to multi-task, prioritize workload, and meet strict deadlines
- Ability to collaborate effectively as part of a team
- Professional appearance and punctuality
Preferred Qualifications
- Experience with Filesite or iManage
- Proficiency in Microsoft Excel
