About the role
Responsibilities
- Manage the overall presentation of the reception area to ensure a professional environment
- Handle incoming phone calls via the switchboard, take messages, and monitor voicemail
- Welcome visitors and escort them to appropriate conference rooms
- Maintain conference and visitor rooms, ensuring they are tidy and presentable after use
- Manage video/conference room reservations and set up equipment for calls
- Prepare catering and beverages for meeting attendees
- Liaise with local couriers for outgoing documents and manage incoming mail and parcels
- Perform administrative tasks including filing, scanning, photocopying, and binding documents
- Arrange transportation, flights, accommodation, and restaurant bookings as required
- Process invoices and expenses
Requirements
- Excellent communication, organizational, and customer service skills
- Ability to use own initiative and remain calm under pressure
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience operating video conferencing (VC) equipment
- Experience using iManage and Emburse (or similar systems)
- Strong English language skills (reading, writing, and speaking)
- Ability to multitask and prioritize effectively in a professional setting
