About the role

Responsibilities

  • Manage the reception area to ensure it remains clean, tidy, and professional
  • Handle incoming phone calls via the switchboard, take messages, and monitor voicemail
  • Welcome visitors and escort them to appropriate conference rooms
  • Maintain conference and visitor rooms, ensuring they are presentable after use
  • Manage video/conference room reservations and set up video calls using the booking system
  • Prepare catering and beverages for meeting attendees
  • Coordinate with local couriers for outgoing documents and manage incoming mail and parcels
  • Perform administrative tasks including filing, scanning, photocopying, and binding documents
  • Arrange transportation, accommodation, and restaurant bookings as required
  • Process invoices and expenses

Requirements

  • Excellent communication, organizational, and customer service skills
  • Strong English language skills (reading, writing, and speaking)
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Experience operating video conferencing (VC) equipment
  • Ability to multitask, prioritize, and remain calm under pressure
  • Proactive approach with strong interpersonal and team skills
