About the role
Responsibilities
- Manage the front desk by greeting clients and colleagues in a professional and polished manner
- Handle incoming and outgoing calls via the switchboard with a warm and confident telephone manner
- Coordinate meeting room logistics, including Outlook calendar reservations, room setup, and clearing
- Monitor the reception email and respond to messages in a timely fashion
- Manage incoming and outgoing post, courier bookings, and deliveries
- Maintain the tidiness of the reception, meeting rooms, and kitchen areas, including restocking supplies
- Assist with security protocols by updating guest details and managing staff swipe card databases
- Support the Facilities Manager with administrative tasks, such as processing invoices and expenses
Requirements
- Demonstrable experience in a professional reception or front-of-house role
- Excellent verbal and written communication skills with a high level of diplomacy
- Strong IT proficiency, specifically with Microsoft 365 (Outlook, Teams, Word, and Excel)
- Experience using video conferencing technologies such as Zoom, Teams, or WebEx
- Ability to multitask and remain calm and composed under pressure in a busy environment
- Strong attention to detail and a proactive approach to service excellence
