About the role

Responsibilities

  • Act as the primary point of contact for students, faculty, and the public, providing professional reception and administrative support.
  • Manage room bookings, private teaching room assignments, and student practice room allocations.
  • Oversee building access by managing keys, issuing UBC card access, and coordinating with parking and access services.
  • Maintain the administration office, including ordering supplies, managing equipment loans, and coordinating maintenance requests.
  • Provide audio-visual support for classrooms and recital halls.
  • Assist with administrative processes for faculty searches, committee meetings, and student appointments.
  • Support student activities, including recital bookings, course registration assistance, and orientation materials.

Requirements

  • High School graduation plus at least one year of post-secondary education.
  • Four years of related administrative or reception experience.
  • Proficiency with MS Office and common office equipment.
  • Proven customer service experience.
  • Commitment to equity, diversity, and inclusion in the workplace.

Preferred Qualifications

  • Experience working within an academic university setting.
  • Previous experience working with musicians or in a music environment.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent interpersonal, oral, and written communication skills.
  • Ability to exercise sound judgment, tact, and discretion.
