About the role

Responsibilities

  • Provide primary administrative support to the site property manager to ensure smooth day-to-day operations
  • Respond professionally to resident and board member inquiries via phone, email, and in-person
  • Maintain and update owner and resident contact records and track changes in unit ownership
  • Prepare and distribute resident communications, including notices, email blasts, and compliance letters
  • Process resident documentation such as amenity bookings, parking permits, and information sheets
  • Coordinate contractor and maintenance visits and liaise with the superintendent for service requests
  • Assist in the preparation of board and owners' meetings, including organizing materials and records
  • Maintain logs for Common Expense Fee (CEF) and sundry payments for accounting purposes
  • Support the preparation of monthly management reports and building inspection documentation

Requirements

  • Minimum of 2 years of experience in customer service or office administration
  • Valid Limited License under the Condominium Management Regulatory Authority of Ontario (CMRAO)
  • Strong knowledge of the Condominium Act, 1998 and CMRAO regulations
  • High-level proficiency in Microsoft Office (Outlook, Word, Excel)
  • Excellent verbal and written communication skills for drafting professional notices and emails
  • Strong organizational and time management skills with the ability to handle multiple priorities

Preferred Qualifications

  • Post-secondary education in business administration, real estate, or a related discipline
  • Experience in a property administration or condominium customer service role
  • Familiarity with condo management platforms such as Condo Control or Condo Manager
