About the role

Responsibilities

  • Coordinate space planning activities including workspace allocation, moves, and utilization tracking
  • Manage contract and work order processes, including purchase requests and service agreements
  • Partner with internal stakeholders to document project scope and align solutions with business priorities
  • Maintain project records, schedules, trackers, and meeting notes to support execution
  • Assist with vendor coordination, including scheduling, documentation collection, and invoice follow-up
  • Support budget tracking and administrative reporting for assigned projects
  • Collaborate with cross-functional teams such as Engineering, Facilities, EHS, Finance, and Procurement
  • Ensure all documentation and administrative activities comply with site procedures and quality requirements

Requirements

  • Bachelor's degree in business, Engineering, Facilities Management, Project Management, or a related field
  • 1–3 years of project coordination, facilities support, operations, or administrative experience
  • Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, and Outlook)
  • Strong organizational and documentation skills with high attention to detail
  • Excellent written and verbal communication skills

Preferred Qualifications

  • Experience in a corporate, manufacturing, or regulated environment
  • Familiarity with facilities, maintenance, or space planning systems
  • Experience with purchase orders, contract administration, and vendor management
  • Knowledge of project tracking tools and administrative workflows in a GMP environment
