Project Assistant (m/f) - Focus Structure, Processes & AI

Responsibilities

• Support the team in the planning, control, and implementation of projects and daily operations, including scheduling and meeting preparation.
• Take independent responsibility for sub-projects and processes, creating project plans and timelines to ensure quality and deadlines.
• Coordinate internal and external stakeholders, including service providers and partners, to ensure smooth workflows.
• Prepare presentations, decision-making bases, and conduct structured research on service providers, locations, and market developments.
• Assist in the planning and execution of exclusive business events, including guest care and coordination.
• Proactively identify priorities and bottlenecks to support the team flexibly.

Requirements

• At least 1 year of experience in project management, assistance, or operations.
• Structured, solution-oriented thinking with the ability to prioritize tasks clearly.
• High technical affinity and the ability to learn new tools quickly.
• Active use of AI tools (e.g., ChatGPT, automation tools) or a strong interest in developing these skills.
• Strong understanding of digital processes and efficiency optimization.
• Fluent German and good English communication skills.
• A proactive "all-in" mentality and the ability to handle high-pressure environments.
• Preference for working onsite in the office.
