About the role
Responsibilities
- Provide executive-level administrative support to the Department Chair and senior leadership within the Radiation Oncology Department.
- Manage the Chair’s calendar, coordinate internal and external meetings, and handle all meeting logistics, agendas, and reminders.
- Develop and maintain administrative systems, processes, and standard operating procedures to improve departmental efficiency.
- Coordinate academic and clinical schedules utilizing Aria, Outlook, and EHR systems.
- Manage faculty travel arrangements, including authorizations, expense reporting, and detailed itineraries.
- Prepare and format key documents, including correspondence, meeting minutes, reports, PowerPoint presentations, and website content.
- Monitor and track departmental deadlines, deliverables, and key initiatives to ensure timely completion.
- Maintain confidential files and records in compliance with institutional and regulatory requirements.
Requirements
- Bachelor’s degree in Business Administration, Healthcare Administration, or a related field.
- At least four (4) years of progressively responsible administrative experience in an academic, healthcare, or large, complex organizational environment.
- Proven experience providing executive-level support to senior leadership.
- Proficiency in Microsoft Office Suite, including Word, Excel, Access, and PowerPoint.
- Demonstrated ability to exercise sound judgment and maintain high levels of confidentiality.
Preferred Qualifications
- Experience with Aria or EPIC electronic health record systems.
- Experience building or blocking schedules within clinical software.
