About the role

Responsibilities

  • Provide executive-level administrative support to the Department Chair and senior leadership within the Radiation Oncology Department.
  • Manage the Chair’s calendar, coordinate internal and external meetings, and handle all meeting logistics, agendas, and reminders.
  • Develop and maintain administrative systems, processes, and standard operating procedures to improve departmental efficiency.
  • Coordinate academic and clinical schedules utilizing Aria, Outlook, and EHR systems.
  • Manage faculty travel arrangements, including authorizations, expense reporting, and detailed itineraries.
  • Prepare and format key documents, including correspondence, meeting minutes, reports, PowerPoint presentations, and website content.
  • Monitor and track departmental deadlines, deliverables, and key initiatives to ensure timely completion.
  • Maintain confidential files and records in compliance with institutional and regulatory requirements.

Requirements

  • Bachelor’s degree in Business Administration, Healthcare Administration, or a related field.
  • At least four (4) years of progressively responsible administrative experience in an academic, healthcare, or large, complex organizational environment.
  • Proven experience providing executive-level support to senior leadership.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Access, and PowerPoint.
  • Demonstrated ability to exercise sound judgment and maintain high levels of confidentiality.

Preferred Qualifications

  • Experience with Aria or EPIC electronic health record systems.
  • Experience building or blocking schedules within clinical software.
