About the role

Responsibilities

  • Lead day-to-day operations and program delivery for the Office of the Vice Provost for Faculty Support and Work/Life.
  • Serve as the chief scheduler and gatekeeper for the Vice Provost, managing complex calendars and prioritizing meetings.
  • Oversee office financial processes, including routine reimbursements, purchases, and maintaining spend plans.
  • Plan and execute end-to-end workshops and events, including managing logistics, marketing, and vendor relations.
  • Execute marketing and communications activities such as drafting emails, social media posts, and event flyers.
  • Manage the Work/Life inbox and phone, ensuring timely responses and resolving routine escalations.
  • Coordinate specific programs such as the Breastfeeding Support Program and the University’s back-up care program.

Requirements

  • Bachelor's degree or equivalent.
  • 2 to 3 years of related professional experience.
  • Strong organizational and time management skills with the ability to handle multiple projects simultaneously.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Suite and/or Google Workspace.
  • High level of discretion and ability to maintain confidentiality regarding sensitive information.
  • Ability to work with diverse stakeholders, including faculty and administrative staff.
  • Flexibility to attend pre-scheduled events outside of normal office hours when required.

Preferred Qualifications

  • Experience working in higher education or a large, complex organizational environment.
  • Experience with executive-level scheduling and calendar management.
  • Proficiency in using social media platforms and design tools like Canva or MailChimp for professional communications.
  • Experience creating high-quality graphics and presentation decks (PowerPoint/Google Slides).
  • Ability to interpret analytics data (e.g., Google Analytics or Salesforce) to inform strategy.
