About the role
Responsibilities
- Support travelers from initial inquiry through program completion by managing registration, participant information, and communications.
- Identify and coordinate with destination vendors, including transportation, accommodations, and tour operators, while overseeing contracts and service agreements.
- Track program expenses against budgets, process vendor invoices, and maintain accurate financial records.
- Resolve logistical issues during programs and support Group Leaders in troubleshooting on-site challenges such as schedule adjustments or weather disruptions.
- Collaborate with Marketing staff to create promotional materials, manage digital content, and support outreach events or webinars.
- Research destinations and develop multi-day domestic and international itineraries aligned with program goals and budgets.
- Assist in the preparation and orientation of Group Leaders and coordinate necessary training materials.
Requirements
- Bachelor's degree or 2-3 years of relevant experience in program administration.
- Proven expertise in travel planning and logistics coordination.
- Strong project administration skills with the ability to manage simultaneous tasks and meet deadlines.
- Knowledge of basic financial processes and budget tracking.
- Proficiency with virtual communication systems and the ability to adapt to new technology.
