About the role

Responsibilities

  • Provide proactive time, travel, and calendar management for Program Managers, including resolving scheduling conflicts.
  • Coordinate complex travel arrangements, including mission planning, visas, itineraries, and logistics.
  • Organize briefing materials, presentations, and correspondence for meetings and missions.
  • Monitor portfolio content and quality, tracking deadlines and prompting team members for action.
  • Ensure quality assurance and operational accuracy of all documents requiring management signatures.
  • Support office administration, including maintaining contact lists, filing systems, and ordering supplies.
  • Work across multiple time zones to ensure connectivity with unit staff in various global locations.

Requirements

  • High school diploma with at least 5 years of relevant experience, or a Bachelor's degree.
  • Excellent command of written and spoken English.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaborative tools like Teams and SharePoint.
  • Strong organizational, multitasking, and time management skills.
  • Ability to handle complex tasks and solve problems efficiently under pressure.
  • Knowledge of World Bank Group policies and procedures (fiduciary, travel, and procurement) is highly desirable.

Preferred Qualifications

  • Experience using Artificial Intelligence tools (e.g., ChatGPT) in an administrative capacity.
  • Demonstrated ability to work effectively across different time zones.
