About the role
Responsibilities
- Provide high-level administrative, operational, and financial support to division leadership and program managers.
- Coordinate workflows, schedules, and communications between managers, vendors, consultants, and partner agencies.
- Process and track invoices, payment requests, and financial documentation to support budget monitoring.
- Assist with contract and grant administration, including tracking deliverables, timelines, and reporting requirements.
- Maintain detailed program tracking systems, spreadsheets, and databases to ensure accurate documentation.
- Coordinate logistics for quarterly board meetings, including agenda preparation, material distribution, and attendance tracking.
- Manage records in compliance with public sector retention and disclosure requirements.
Requirements
- Associate’s degree or equivalent coursework in business administration, public administration, communications, or a related field.
- 3 to 5 years of progressively responsible administrative or program support experience.
- Experience with financial tracking, invoice processing, or budget monitoring.
- Strong proficiency in meeting coordination, scheduling, and records management.
- Ability to work independently and manage multiple competing priorities in a fast-paced environment.
Preferred Qualifications
- Bachelor’s degree in a relevant field.
- Experience in public sector administration or government operations.
- Familiarity with public records requirements and regulatory program support.
- Prior experience in solid waste, recycling, environmental programs, or public works.
