About the role

Responsibilities

  • Coordinate student support systems, academic advising, and administrative functions for undergraduate and graduate programs
  • Provide academic advising to students regarding course selection, registration, and graduation requirements
  • Manage course planning, timetabling, and classroom bookings for the School of Biomedical Engineering
  • Perform graduation checks and participate in adjudication processes for undergraduate students
  • Coordinate student-focused events, including orientations, information sessions, and recognition ceremonies
  • Manage student group relations, including communication with student teams and chapters
  • Maintain accurate student records, databases, and departmental documentation
  • Act as a primary point of contact for academic program inquiries from students, faculty, and external stakeholders

Requirements

  • High School graduation plus a two-year post-secondary diploma
  • Four years of related administrative or coordination experience
  • Proficiency in Microsoft Office (word processing, spreadsheets, and databases)
  • Strong written communication skills with the ability to compose clear business English
  • Advanced interpersonal skills with the ability to exercise tact, confidentiality, and discretion
  • Ability to work independently and manage multiple conflicting priorities

Preferred Qualifications

  • Experience in a university setting with knowledge of academic policies and procedures
  • Familiarity with UBC systems such as SISC, FSC, or SCMC
  • Experience with event planning and supervising student staff or volunteers
  • Proficiency with Adobe Creative Suite, WordPress, Canvas, or Microsoft SharePoint
  • Ability to synthesize complex information from multiple sources to assist student queries
