Production Coordinator

Responsibilities

• Produce accurate valuation documents for clients and professional advisors
• Log and manage valuation enquiries, directing them to appropriate departments
• Coordinate receipt of work from experts, including typing, formatting, and extensive proofreading
• Create spreadsheets and provide data analysis as required
• Arrange valuation visits and book travel for the team
• Accompany Valuations Managers on client visits when necessary
• Maintain and update valuation databases, spreadsheets, and priority lists
• Coordinate diaries and paperwork for internal meetings, including note-taking and memo writing
• Ensure complete client confidentiality and adherence to GDPR requirements
• Provide excellent client service in line with corporate standards

Requirements

• Minimum 2 years of administrative experience at an international auction house
• Background in art history or a strong interest in fine and decorative art
• Graduate degree, ideally a BA or MA in History of Art
• Advanced MS Excel skills; proficiency in Word and PowerPoint
• Fluent English (oral and written)
• Strong organizational skills and high attention to detail
• Ability to work under pressure and meet tight deadlines
• Excellent communication and client service skills

Preferred Qualifications

• Practical knowledge of the Sotheby’s valuation system
• Proficiency in Photoshop
• Good photography skills
• Fluency in a second European language
