About the role
Responsibilities
- Serve as the primary client liaison and lead for assigned pharmaceutical meetings for a global client.
- Manage complete project timelines, establishing workflow schedules with clients and suppliers to ensure accurate program handling.
- Negotiate and manage contracts for hotels, congresses, destination management companies (DMC), air travel, and other third-party services.
- Coordinate program details, including site inspections, program itineraries, and working agendas.
- Oversee overall program budgets, including forecasting, auditing TOV billing, tracking expenses, and reconciling supplier payments.
- Partner with IT and creative teams to manage web requirements and produce program materials.
- Maintain accurate records and file management in accordance with company and client policies.
Requirements
- 5-7 years of meeting planning experience.
- At least 3 years of experience specifically supporting the pharmaceutical business.
- Advanced proficiency in Microsoft Word and Excel.
- Ability to travel up to 40% via airplane, boat, rail, or car.
- Strong oral and written presentation skills with the ability to communicate with all levels of management.
- Demonstrated ability to work accurately under deadlines and handle change flexibly.
Preferred Qualifications
- 4-year degree.
- CMP (Certified Meeting Professional) designation.
- Experience with Pharmaceutical Congresses.
- Experience with meeting industry technology, such as CVENT.
