About the role
Responsibilities
- Serve as the primary client liaison for assigned pharmaceutical congresses, ensuring program objectives and outcomes are met.
- Manage ancillary meeting spaces, including securing meeting rooms and coordinating AV and catering requirements.
- Establish project timelines and workflows with clients and suppliers to ensure accurate handling of all congress details.
- Negotiate and manage contracts for hotels, congress needs, destination management companies (DMC), air travel, and third-party vendors.
- Coordinate site inspections and produce detailed program itineraries and working agendas.
- Monitor program financials, including forecasting, monthly tracking, and final bill completion.
- Provide on-site support to ensure the smooth execution of all supplementary activities and congress logistics.
- Maintain accurate records and file management in compliance with company and client policies.
Requirements
- 3-5 years of meeting planning experience.
- At least 2 years of experience specifically supporting the Pharmaceutical business.
- Advanced proficiency in Microsoft Excel and Microsoft Word.
- Ability to travel up to 40% via airplane, boat, rail, or car.
- Strong oral and written communication skills for interacting with all levels of management and clients.
- Proven ability to meet deadlines and work accurately in a fast-paced environment.
Preferred Qualifications
- Certified Meeting Professional (CMP) designation.
- 4-year university degree.
- Experience with industry technology such as CVENT.
- Direct experience with Pharmaceutical Congresses.
