About the role

Responsibilities

  • Serve as the primary client liaison for assigned pharmaceutical congresses, ensuring program objectives and outcomes are met.
  • Manage ancillary meeting spaces, including securing meeting rooms and coordinating AV and catering requirements.
  • Establish project timelines and workflows with clients and suppliers to ensure accurate handling of all congress details.
  • Negotiate and manage contracts for hotels, congress needs, destination management companies (DMC), air travel, and third-party vendors.
  • Coordinate site inspections and produce detailed program itineraries and working agendas.
  • Monitor program financials, including forecasting, monthly tracking, and final bill completion.
  • Provide on-site support to ensure the smooth execution of all supplementary activities and congress logistics.
  • Maintain accurate records and file management in compliance with company and client policies.

Requirements

  • 3-5 years of meeting planning experience.
  • At least 2 years of experience specifically supporting the Pharmaceutical business.
  • Advanced proficiency in Microsoft Excel and Microsoft Word.
  • Ability to travel up to 40% via airplane, boat, rail, or car.
  • Strong oral and written communication skills for interacting with all levels of management and clients.
  • Proven ability to meet deadlines and work accurately in a fast-paced environment.

Preferred Qualifications

  • Certified Meeting Professional (CMP) designation.
  • 4-year university degree.
  • Experience with industry technology such as CVENT.
  • Direct experience with Pharmaceutical Congresses.
