Responsibilities

• Act as the primary point of contact between the CMO, internal teams and external partners
• Proactively manage the CMO's calendar, balancing business priorities and international time zones
• Coordinate presentations, meeting materials and executive documents
• Organize domestic and international travel, accommodation and detailed itineraries
• Prepare and submit monthly expense reports
• Handle confidential information with the highest level of discretion
• Coordinate department meetings, business reviews, planning sessions, and workshops
• Synchronize marketing department calendars across multiple stakeholders
• Organize team-building activities and coordinate onboarding for new team members
• Leverage AI and productivity tools to improve speed and administrative efficiency

Requirements

• Demonstrated success supporting a senior executive (CMO, CEO, or equivalent) in a fast-paced, global organization
• Proven ability to coordinate complex, multi-stakeholder calendars across time zones
• Track record of handling confidential and sensitive information with discretion
• Strong written and verbal communication skills
• Comfortable leveraging AI and productivity tools to improve organizational efficiency
• Experience organizing domestic and international travel and expense reporting
