Responsibilities
- Welcome clients, manage check-ins, and maintain professional boundaries and discretion.
- Schedule client appointments, manage cancellations, and send appointment reminders.
- Accurately enter and maintain client information within the electronic medical record system.
- Handle billing processes, accept payments, and verify insurance coverage.
- Answer phone calls, respond to emails, and relay messages to appropriate staff.
- Maintain a tidy reception area and perform light housekeeping to keep clinic spaces presentable.
- Perform clerical duties including copying, scanning, mailing, and filing.
- Ensure compliance with HIPAA guidelines and maintain strict client confidentiality.
Requirements
- High School Diploma or GED.
- 2+ years of experience in a front service desk or administrative assistant role.
- 1+ years of experience using computers and standard business software.
- 1+ years of experience with mental health field terminology.
- 1+ years of experience applying policy and procedure manuals.
- Proficiency with Microsoft Word, Excel, and PowerPoint.
- Access to reliable transportation.
- Ability to work normal business hours (8:00am - 6:00pm CST).
Preferred Qualifications
- Prior experience in a patient-facing setting or within the healthcare field.
- Experience specifically within the mental health field.
- Experience with professional scheduling and appointment management.
- Ability to independently prioritize tasks and collaborate effectively with a team.
