Outbound Specialty Mail – Processing Support Associate III

Responsibilities

• Process and prepare outbound claim-related documents using specialized mailing methods, including certified mail, overnight courier services, and bulk mailings
• Review requests for completeness and accuracy prior to processing to ensure proper handling
• Coordinate with internal departments to fulfill mailing requirements in accordance with service level expectations
• Accurately update the claims system with fulfillment status, mailing method, tracking numbers, and completion dates
• Track and confirm delivery of specialty mail items and follow up as necessary
• Manage returned or undeliverable mail according to established procedures
• Ensure all mailing processes comply with internal policies, client requirements, and applicable regulations
• Maintain organized logs and documentation of all outgoing specialty mail activity

Requirements

• 1–2 years of experience in a mailroom, administrative, or claims processing environment
• Strong attention to detail and organizational skills
• Familiarity with mailing systems and tracking tools (e.g., USPS, FedEx, UPS)
• Proficiency in data entry and comfort using document management systems
• Excellent communication and teamwork skills
• Ability to work independently and manage multiple tasks in a fast-paced environment

• Basic knowledge of claims processing or the insurance industry
