Operations Specialist

Responsibilities

• Own end-to-end execution across operational workflows, handling exceptions, escalations, and tasks outside automated processes
• Work directly with third-party providers, vendors, and regulatory bodies to resolve issues and move cases to resolution
• Validate AI-generated outputs to ensure quality, accuracy, and effectiveness before downstream impact
• Manage a high volume of open cases simultaneously against strict deadlines
• Identify process gaps and provide feedback to improve tools and workflows
• Cross-train across various workflows to support volume variability

Requirements

• Based within a 50-mile commuting distance of the Toronto office (able to be onsite 4 days a week)
• Comfort working with AI tools and a genuine interest in using technology to optimize workflows
• Strong project management instincts with the ability to drive multiple workstreams
• Strong communication skills for managing external relationships, negotiating, and resolving disputes
• High attention to detail and strong documentation habits
• Ability to work effectively in high-ambiguity environments
• High accountability and a sense of urgency regarding deadlines

Preferred Qualifications

• Background in operations, case management, or project coordination
• Experience in property management, real estate, insurance, or mortgage/escrow
• Comfort with navigating and adopting new internal tooling stacks
