About the role

Responsibilities

  • Oversee management and coordination of outsourced facilities management vendors and process vendor invoices.
  • Support local health and safety activities in collaboration with the SHEQ Officer.
  • Manage local contracts and vendors to ensure alignment with global procurement policies.
  • Serve as a local signatory for operational processes, including bank payments and vendor contracts.
  • Monitor regional budgets, cash flow, and expenses in coordination with the Finance department.
  • Implement and monitor day-to-day operational systems and processes.
  • Coordinate local logistics for events, travel, and the onboarding of new staff.
  • Support the implementation of office culture and internal engagement initiatives.

Requirements

  • Degree-level education or equivalent.
  • Proven experience in facilities, workplace, or office operations within a multi-stakeholder environment.
  • Experience managing vendors, service providers, contracts, and invoices.
  • Strong organizational skills with the ability to manage competing priorities independently.
  • Experience in operational administration, including procurement and budget support.
  • Ability to work on-site regularly due to the facilities-facing nature of the role.
  • Fluency in the local language of the base location and excellent working knowledge of English.

Preferred Qualifications

  • Prior experience in operations support within a non-profit organization.
  • Basic understanding of real estate management principles and local compliance regulations.
  • Ability to analyze complex data sets to inform local operations.
