Operations Commercial Assistant

Responsibilities

• Provide day-to-day administrative, commercial, and operational support to the Commercial Operations Manager and the wider team.
• Assist with the management of vessel operations and voyage administration activities.
• Liaise with third parties and Brazilian business partners on operational matters.
• Assist with the preparation, review, and administration of charter parties, contracts, and other documentation.
• Support invoicing processes, payment follow-ups, reconciliations, and the maintenance of accurate financial records.
• Assist with foreign exchange settlements and other finance-related operational activities.
• Prepare and maintain operational reports, trackers, records, and databases.
• Support the collection and maintenance of documentation required for operational, regulatory, and tax compliance in Brazil.
• Coordinate and follow up on operational matters and outstanding actions with internal and external stakeholders.

Requirements

• University degree in any discipline.
• Fluent in Portuguese and English (both written and spoken).
• Strong organisational skills and excellent attention to detail.
• Strong communication and interpersonal skills.
• Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
• Ability to manage multiple tasks and prioritise competing deadlines.
• Proactive, hands-on attitude with a willingness to take ownership of responsibilities.
